How to prepare for expiration of your NetID
When you leave CSU, you should prepare for the expiration and removal of your NetID, email and other CSU accounts. CSU Microsoft 365 and Google accounts are permanently deleted 30 days after NetID expiration and cannot be recovered. Applicable to: Former Fort Collins and Pueblo students, faculty and staff Prerequisites Your NetID must be in the Expiration Cycle. (You will receive email notifications that your NetID is expiring starting 28 days before expiration.) Instructions Inform other people and accounts of your email change. Automatically forward your emails to your new email address while your NetID account is still active. See instructions for Microsoft Outlook or Gmail. Set an automatic reply to inform others of your new email address while your NetID account is still active. See instructions for Microsoft Outlook or Gmail. (Forwarding and automatic replies will end when your account expires.) Change your social media and commercial accounts to use a non-CSU email address for second factor login and account recovery. Otherwise you might someday find that you are locked out of your accounts. Transfer information you want to keep. Download or transfer to other systems any existing CSU content you want to keep, such as email messages, drive files, and contacts. See instructions for Microsoft 365 or Google. Note that files and folders in your OneDrive folder that are currently being synced with your CSU OneDrive account will no longer be available when your NetID expires, so they should be moved outside of your OneDrive folder. Log in to your downloaded Microsoft applications (Outlook, Word, Excel, etc.) with a non-CSU Microsoft 365 account. Create accounts for former students. CSU Alumni and former students should create a RAMrecords ID to access their personal records. CSU Alumni can create a Gmail account for CSU Alumni. Request deactivation of your NetID when you no longer need it. Outcome Once your NetID is reactivated or the expiration date has been extended, you will have access to your NetID and Microsoft 365 account until your new expiration date. How to request deactivation of your NetID
If you are no longer affiliated with CSU and no longer need your CSU accounts, you can request deactivation of your NetID. Applicable to: Former Fort Collins and Pueblo applicants, students, faculty, staff, and associates Eligibility Your NetID account must remain active until your CSU affiliation(s) end. We cannot permanently deactivate active accounts of currently affiliated CSU applicants, students, faculty or staff. Why Thank you for considering deactivating your unused accounts to benefit yourself, CSU, and the environment. Protect the online privacy and security of yourself and others at CSU. (Hacked unused accounts may go unnoticed and are a large security risk for CSU.) Reduce CSU software licensing costs. Reduce online resource usage and environmental impact. Instructions Make sure you no longer need your CSU accounts. When your NetID is deactivated, you will lose access to all your CSU accounts that use your NetID for login, including CSU Microsoft 365 and Google email messages, drive files, and contacts, and reactivation eligibility is limited. Complete instructions to prepare for closing your CSU accounts. Select Menu > My Account > Show My Information. In the NetID Account section, check that Can Extend, Reactivate, or Deactivate shows whether you are eligible for deactivation. If you are not eligible for deactivation, and you are not a retiree or emeritus, make sure you have ended your CSU affiliation(s). Contact Admissions, the Registrar, or Human Resources, if necessary. Select Deactivate Account to confirm your eligibility and deactivate your NetID. Outcome Your NetID account will be in the Expired Account state and you will not be able to log in to CSU applications with your NetID. All your CSU accounts that use NetID for login will be deactivated, including CSU Microsoft 365 and Google @rams accounts, which will be permanently deleted in 30 days. How to request temporary NetID reactivation or extension
You may want to request temporary reactivation of your NetID or extension of your NetID expiration date if you have recently left CSU but still need access to your CSU Microsoft 365 account for a short period. Applicable to: Former and returning Fort Collins and Pueblo students, faculty, staff, and associates Prerequisites Your NetID must be expiring in the next 30 days or expired less than 30 days ago. CSU Microsoft 365 and Google accounts are permanently deleted 30 days after NetID expiration and cannot be recovered. You can request a one-time, two-week extension or reactivation of your NetID. Instructions Eligibility To keep your NetID active, see NetID Eligibility. If your account is still active but you are not returning to CSU, check your eligibility for temporarily extending or deactivating your account: SelectMenu > My Account > Show My Information. Log in with your NetID if prompted. Scroll down to the NetID Account section and view the Can Extend, Reactivate, or Deactivate section. Forms Students who are eligible for an extension can use the Extend Expiration Date form. Former affiliates (students, applicants, faculty and staff) who no longer need their account are eligible for immediate account deactivation and can use the Deactivate Account form. What if I need more time? The CSU System IT staff does not have the ability to grant additional NetID extensions, reactivate your NetID for you, or override your NetID expiration. If you are maintaining a relationship with the university which requires a need to maintain your NetID and CSU system email, please review your campuses' policy on Associates and contact your respective Human Resources office to request an associate assignment: CSU Fort Collins Associates Information Human Resources CSU Pueblo: Human Resources Contacts If you are eligible and would like to request reactivation or extension, or if you have questions about your eligibility, affiliation, or employee assignment status, Students: Contact your campus help desk. Faculty, Staff and Associates: Contact your former department's Human Resources representative. They should decide whether to authorize the temporary extension or reactivation and use the extension or reactivation form or submit the request to the campus help desk on your behalf. You may want an extension if your employee or associate affiliation is being reactivated or extended or your primary assignment is changing, but processing won't be completed before your NetID expiration date. Note: Division of IT staff cannot perform NetID extensions or reactivations without authorization from central HR or an HR representative. Outcome Once your NetID is reactivated or the expiration date has been extended, you will have access to your NetID and Microsoft 365 account until your new expiration date. When do my NetID, email and other CSU accounts expire? After you're no longer affiliated with the university (you've graduated, are no longer employed, etc.) your NetID will also expire. Please review this article to learn more. Applicable to: CSU System, Spur, Fort Collins, Pueblo Students, Faculty, Staff, Associates, Retirees, Emeritus NetID Expiration Policies The expiration of NetID accounts depends on your affiliation with the University. The following rules apply: Applicants: NetID expires 45 days after the application period. Students: NetID expires 365 days after the student's last class. Staff: CSU Fort Collins, Spur: NetID expires 30 days after the end of University affiliation (employee's separation from the University or the Appointment End Date, if applicable). Pueblo: NetID expires 365 days after the end of University affiliation. Post-Doctoral fellows, interns, residents and sponsored researchers: NetID expires 30 days after the end of University affiliation. Associates: NetID expires 30 days after the appointment ends. Retirees: Retirees and Emeritus professors retain their NetID for life. What will I lose access to? When your NetID account expires, you will lose access to all CSU accounts, including email, cloud drives and other office applications (Microsoft 365 and Google Workspace for Education). Starting 30 days before account expiration, account holders are reminded of the expiration date multiple times by email to both CSU and recovery email addresses. Where can I see my expiration date? Go to My Account > Show My Information. Log in with your NetID. In the NetID Account section, if LifeCycle State is Expiration Cycle, look for a date next to Expires. NetID Explained - Breaks in Affiliation
Description The CSU System campuses all use the same NetID system, allowing users to move between campuses without changing their NetID. NetIDs are unique identifiers for individual users who are eligible to receive one based on an affiliation with one or more of the CSU System campuses (CSU Fort Collins, CSU Pueblo). NetIDs remain associated with a specific user even when they have a break in affiliation. A few examples include: taking some time off school coming back from retirement for an hourly assignment previous employee enrolling in classes previous student getting hired at the University Use this guide to set expectations for how breaks in affiliation will impact users' NetID status, and outline any steps users may need to take upon returning to the University. Applicable to: Users who have established an affiliation with a CSU System Campus and will take a break between affiliations, assignments or enrollments. Prerequisites None Explanations How long could I take a break from the university and keep an active NetID? Users' accounts fall into the expiration cycle (as outlined in NetID Lifecycle), when their affiliation ends. For example, an employee's last day of work or the census date after a student's most recent semester enrolled. During the expiration cycle, accounts remain eligible for login and retain access to associated M365 resources for a pre-defined grace period. At the end of that grace period accounts expire and the user loses the ability to log into CSU resources and access associated M365 resources. Users whose only affiliation is as a student will receive a 1-year expiration cycle. That means, that a student can take up to one year before losing access to their email inbox or M365 resources (OneDrive, etc.). Once expired, CSU NetIDs are retained in an 'expired' state indefinitely. That means that when a user returns to the University after their account has fully expired, they will be reassigned the same NetID (the exception to this is explained in the question below). However, once an account expires the user loses access to CSU resources and any data stored in their Outlook email inbox or OneDrive is tagged for deletion. Important Takeaway: If you are a student and plan to take a break for longer than 1 year your account will expire and you will lose access to your email and OneDrive. Please plan accordingly and back up any information that you want to keep. When would I need to have a new NetID set up when coming back? Returning users who had an active affiliation with the CSU System on or after July 2022 will retain their existing NetID on return. Users who are re-establishing an affiliation with CSU System whose only previous affiliation concluded before July 2022 will be issued a new NetID in the format C123456789, where the nine digits following the C are the user's CSUID. More detail is available here: What is the format of a NetID Even though the value of the NetID is retained (for example, C123456789), the account itself may need to be reactivated. If a user re-establishes an affiliation with the University more than 30 days after their account expires, a new mailbox and OneDrive will need to be established via NetID Activation. What do I need to do when returning after a break in affiliation? Upon returning from a break in affiliation, you will need to work with your HR representative or Admissions to ensure that your affiliation is accurately represented in HR and student systems, deeming you eligible to work or enroll in classes. You can go through the steps to activate your NetID. If your NetID account remained in the expiration cycle, it will automatically cycle back to active. If you are unable to view this for yourself, your HR or Admissions representative can look for you. NetID Life Cycle
The NetID account life cycle includes stages from creation to activation and expiration. Your current and past CSU affiliations determine your NetID's state and which CSU systems you can access. When your NetID's state changes or is scheduled to expire, you will receive an email notification with further instructions. Applicable to: Current and former Fort Collins and Pueblo applicants, students, faculty, staff, and associates Prerequisites You must have established NetID eligibility. Your NetID must have been created by Admissions, the Registrar, or Human Resources. Life Cycle States, Descriptions and Access Life Cycle State Email Access Description and Access Awaiting Activation No Your NetID has been created but not activated. You are eligible to activate your NetID and email account. Active Account Yes You have activated your NetID account and can log in to the NetID website. You have access to CSU email and other systems based on your campus and affiliation(s) (applicant, student, faculty, staff, associate). Expiration Cycle Yes You are no longer affiliated with CSU as an applicant, student, employee or associate. See below for expiration cycle duration. You can still log in to the NetID website and access your CSU email and cloud drives (Microsoft 365 and Google Workspace for Education). You will no longer have access to many other CSU systems. Expired Account No After your CSU affiliation ends, you must reestablish an affiliation to access email or other CSU systems. Manual Disable No Your account has been manually disabled by a NetID administrator. Contact the Help Desk or the Human Resources representative of your department for more information. How to view your NetID Life Cycle state If your NetID has been activated and has not expired, from the NetID website, select Menu > My Account > Show My Information and log in with your NetID. If you are a NetID administrator, select Menu > Admin > Person Search, look up a person by name, and click their name in the results. Scroll down to the NetID Account section to view Life Cycle State.
