Instructions Reset User’s NetID Password Log in to the NetID Portal and reset the user’s NetID password. Forward the Outbound Spam Notification Forward the Outbound Spam Notification to soc@colostate.edu and CC windows@colostate.edu. SOC will notify the user and [possibly] offer training to help prevent future compromised credentials. Unblock the User in O365 Unblock the user in M365 so that they’re allowed to send e-mail: Login to the Microsoft 365 Portal as a portal admin (portal.office.com) Access the Exchange admin center (lower left) From within the Exchange admin center, click “protection” link on left Click “action center” link on the top Select the account to be unblocked and click “Unblock Account…” link on right. Please note that these steps are intended to be performed by an administrator with the necessary permissions and access to the Microsoft 365 admin portal. Always ensure to replace the email addresses and other parameters with the ones applicable to your environment.

Reducing and Maintaining Microsoft 365 Mailbox Size This article provides multiple methods and strategies to reduce and maintain a user’s Microsoft 365 (M365) mailbox size. It includes instructions for both Outlook on the web and the Outlook desktop client on Windows and macOS. Why Mailbox Size Management is Important Performance Improvement: A smaller mailbox size improves the speed and performance of Outlook, reducing load times and improving responsiveness. Storage Optimization: Office 365 provides a limited amount of storage for each mailbox. Managing the size ensures you stay within your allocated storage limits. Compliance and Security: Proper email retention and archiving practices ensure compliance with industry regulations and company policies. Enhanced Searchability: Smaller mailboxes make it easier to search for and retrieve specific emails. Backup and Recovery: Smaller mailboxes are easier and quicker to back up, ensuring important emails are preserved. Strategies to reduce mailbox size Delete or archive unneeded messages with large attachments. Delete or archive unneeded old messages. Enable Auto Archive. Change the default option from “Conversations by Date” to “Conversations by Size”. Once selected, the option next to “Arrange by Size” should change to "Largest on top". Select the email you would like to delete or archive. Click Delete or Archive. Outlook Desktop App for Windows: Open Outlook and go to the folder you want to search (e.g., Inbox, Sent Items, etc.). Click on the “View” tab in the ribbon. Click on “View Settings” and then “Columns”. In the “Select available columns from” drop down, choose “Size”. Click “Add” and then “OK”. Identify Your oldest Email Outlook on the Web: Open Outlook Web Access and sign in. Select the folder you want to search (e.g., Inbox, Sent Items, etc.). Click the hamburger menu from the folder view. Click Sort then click “Oldest on top” This folder is now sorted oldest to newest. Select the email you would like to delete or archive. Click Delete or Archive. Outlook Desktop App for Windows: Open Outlook and go to the folder you want to search (e.g., Inbox, Sent Items, etc.). Click on the “View” tab in the ribbon. Outlook App on MacOS: The Auto-Archive feature is not natively available in Outlook for MacOS. However, you can manually move or delete old items, or set up rules to move or delete items. If you have access to a Windows machine, you can set up Auto-Archive there, and the settings will apply to your account on the MacOS machine as well. How to Log in to Outlook on the Web
Description This article provides step-by-step instructions for logging in to your Outlook email account using your CSU NetID. Prerequisites A valid Microsoft account (created when you establish your NetID) Internet access Note: When logging in to Microsoft 365 (M365), your username is your NetID@colostate.edu. For example, if your name is Cam T. Ram, and your NetID is camram, your login for Microsoft 365 is camram@colostate.edu. This is true for students, faculty, and staff at CSU Pueblo, CSU in Fort Collins, and Spur. If your NetID is C812345678, your login for Microsoft 365 is C812345678@colostate.edu. Microsoft 365 is the only system that requires this special handle as the username. Instructions Open your web browser. Launch your preferred web browser (e.g., Microsoft Edge, Google Chrome, Mozilla Firefox, Safari). Navigate to the Outlook website. In the address bar, type the following address and press Enter: https://outlook.office.com Enter your NetID email address. On the sign-in page, enter your NetID email address in the provided field. Click Next. Enter your password. Type your NetID password in the password field. Click Sign in. Complete multi-factor authentication. You will be prompted to "Verify your identity", Select "Approve with Cisco Duo". Enter the displayed access code into the DUO Mobile app on your mobile device. Note: When logging in to Microsoft Apps: Microsoft access requires users to choose “Cisco Duo” to complete two-factor authentication. Do NOT select "Approve a request on my Microsoft Authenticator app". Microsoft Authenticator is not supported by the Division of IT and will prevent you from successfully accessing the applications you are trying to log into. Access your inbox. Once authenticated, you will be redirected to your Outlook inbox. Additional Email Google Apps is an optional, secondary email account for established users at CSU. All users with Microsoft for email will always receive their important university messages in that account. Google Apps is an add-on service for those who opt to use it. How to download the Microsoft 365 apps package and access apps on the web

Navigate to the Microsoft 365 portal: In the address bar, type https://www.microsoft365.com/ and press Enter. Sign in to your Microsoft account: Enter your NetID email address and password. Click Sign in. Go to the Install Office page: On the Microsoft 365 home page, click on Install Office in the upper right corner. Select Office 365 apps from the drop down menu. Download and install the apps: Follow the on-screen instructions to download the installer. Once downloaded, open the installer and follow the prompts to install the Microsoft 365 apps on your device. Accessing Microsoft 365 apps on the web Open your web browser: Launch your preferred web browser. Navigate to the Microsoft 365 portal: In the address bar, type https://www.office.com and press Enter. Sign in to your Microsoft account: Enter your Microsoft account email address and password. Click Sign in. Access individual apps: Outlook: Click on the Outlook icon to access your email. Word: Click on the Word icon to create and edit documents. Excel: Click on the Excel icon to create and edit spreadsheets. PowerPoint: Click on the PowerPoint icon to create and edit presentations. OneNote: Click on the OneNote icon to create and manage notes. Teams: Click on the Teams icon to collaborate with your team. OneDrive: Click on the OneDrive icon to access your cloud storage. What about CSU owned or department issued devices? If you are a faculty or staff member, you can install this software on up to five personal computers. A different mechanism is in place for CSU-owned computers to be configured with Microsoft Office. Please work with your college or department IT staff to set that up.
