How to Verify a Person's Identity Before Providing NetID Support
Description:
To protect the security and privacy of student and staff information and NetID accounts, it is important for NetID administrators to take precautions to verify a person's identity before providing NetID support.
Applicable to:
- Fort Collins and Pueblo staff who are NetID administrators
- Admissions, The Hub for Student Services, Human Resources and Help Desk staff
Prerequisites
Instructions
Verifying a person's identity entails asking the person to prove that they are who they claim to be.
- Request at least two factors of Personally Identifiable Information (PII), such as their CSU ID number, home address, and date of birth.
- If the client contact is in person or via a Teams or Zoom meeting, request display of their CSU ID card or government-issued ID card.
- If the client contact is through a non-CSU email address or a phone call and cannot present an ID, their identity must be verified through other factors.
- Verify that the factors match what is found in:
- Student information systems or Human Resources systems, and/or
- NetID administration by selecting Menu > Person Admin > Person Info and Menu > Person Admin > Person Data.
- Only disclose necessary information from the client's NetID data to the client.
- If possible, instruct the client how to view their own NetID data instead.
- For example, people with active accounts can view their own information by selecting Menu > My Account > Show My Information.
Outcome
After verifying the person's identity, NetID admins can assist the client and look up the client's information that may help with troubleshooting.
-
Select Menu > Admin > Person Search.
- Search by entering their name, CSU ID, NetID, or email address.
-
Click their name in the search results to show their information, which includes sections for:
- Personal/Directory Data (including CSU ID and NetID)
- Affiliations and related data (including student, faculty, staff, and associate)
- NetID account (including Life Cycle State)
- Email Addresses (including official, activation and password recovery email)
